Transportation Expenses

  • ● Airline Ticket

    The TFC will purchase an economy class airline ticket for you directly from the travel agent, after which we will send the E–ticket to you by email. You will need to provide us with your boarding passes as evidence of your trip. Please submit the original outward boarding passes to us when you come to Japan. For the return trip, please scan the boarding passes and send them to us by email when you have returned home.

    Note:
    If you would like to make any changes or cancellations to your flights after the E–ticket has been sent to you, then you will be responsible for the payment of any fees which this will incur, such as change fees, cancellation charges, arrangement fees, etc. In addition, the TFC will not be able to assist you when changing your tickets, and therefore you must discuss this with the travel agent yourself. If you would like to buy an open–jaw ticket in order to undertake some additional travel which is unrelated to your visit to the TFC, then we can arrange this for you. You will be charged only for the part of the route which is unrelated to your visit to the TFC.

  • ● Overseas Transportation Expenses

    We cannot reimburse overseas transportation expenses (for example, expenses incurred while traveling to the airport, etc.). Instead, we would pay for your daily allowance on the days of your inbound and outbound trips. Please see the “Daily Allowance” page for more details.

  • ● Transportation Expenses in Japan

    If you plan to purchase a round–trip train ticket, we recommend you to purchase JR EAST Pass. This ticket is only available for foreign visitors and it offers you the most economical travel in Tohoku area (the eastern part of Japan).

    From Narita Airport
    The journey from Narita International Airport to Sendai can be made by either domestic flight or taking the bullet train (Shinkansen). If you would like to fly to Sendai airport, we will purchase the ticket for you and send the E–ticket to you by email. After arriving at Sendai airport, please take the Sendai Airport Access Line to Sendai Station. A single fare will cost 660 yen. We will reimburse this fare without a receipt. If you would like to travel to Sendai by bullet train (Shinkansen), please take the JR Narita Express from Narita Airport to Tokyo station, from where you can transfer to the Tohoku Shinkansen which will take you to Sendai.

    From Haneda Airport
    There is no direct flight available from Haneda airport to Sendai, therefore this journey can only be made using the bullet train (Shinkansen). The Shinkansen will depart from Tokyo Station, therefore, from Haneda Airport please take the Tokyo Monorail to Hamamatsucho Station where you can transfer to the JR Yamanote line to Tokyo Station. At the Tokyo Station, please transfer to the Tohoku Shinkansen and get off the train at the Sendai station.

    From other airports
    We can arrange an airline ticket from any other airports in Japan. In this case, we will inform you about your route individually.

    Note:
    The TFC will not provide any pick–up services from Sendai Airport or Sendai Station. However, if you have any additional questions about transportation such as locations of the taxi stand, etc., we will be happy to provide you with this information.


  • ● Hotel
    We will make a hotel reservation for you and pay the hotel fee directly ourselves. We will inform you of the hotel information in advance. You can check–in to the hotel by providing your name at the reception desk of the hotel. The plan which we will arrange for you will include breakfast.
    Please note that any additional services such as cancellation fees, dry cleaning, etc., should be paid by yourself.
  • ● Apartment
    If you are a long–term stay guest and would like to stay in an apartment during your visit, we can arrange this for you. In addition to paying for the rent of the apartment, we will also arrange and pay the utility bills including electricity, water, and internet.
  • ● UH Katahira
    The TFC has reserved a number of fully furnished apartments which can be used anytime during the year. This accommodation is particularly recommended for our long–term stay invited researchers.

Daily Allowance

We will prepare a daily allowance for the days of your inbound and outbound trips in cash which you may receive it at the first floor of the TOKYO ELECTRON House of Creativity at the time that you have decided with the contact person in advance. However, if you have a bank account in Japan, we will transfer the daily allowance to your bank account after your visit.

* We will pay a daily allowance according to the rules of the Tohoku University.


For Invited Researchers who wish to come to Sendai with their family

We are not able to pay for the travel expenses for your family. However, we can book the flights and hotel accommodations for your family members, after which the payment will be charged to you. We can book a hotel room which can accommodate a family, but we are only able to pay the fee for single room, and therefore you must pay the remaining balance to the hotel.


For Invited Researchers who would like to stay in Japan for purposes unrelated to the activities of the TFC

If you would like to visit another institute while you are in Japan, then the TFC may not be able to cover your full airfare and expenses for the duration of your visit. Under these circumstances, we may only be able to pay a portion of your flight costs, and therefore we will ask you to pay the remainder of the airfare.


Arranging flights or accommodation by yourself

  • ● Airline Ticket
    Under normal circumstances, the TFC will arrange your flight for you, and therefore you do not need to purchase plane tickets yourself. However, if you would like to buy the ticket yourself, then we will reimburse the flight expenses for you. Please note that if we reimburse the flight costs to you, this reimbursement will be subject to 20.42 percent tax in accordance with Japanese tax law and therefore you will not receive the full cost of your flights. In addition, if you buy business class tickets, we cannot reimburse the expenses, while if you purchase an open–jaw ticket, we cannot pay for the part of the fare which includes activities unrelated to the TFC.
  • ● Accommodations
    Under normal circumstances, the TFC will arrange your accommodations for you, and therefore you do not need to arrange your accommodations by yourself. However, if you would like to arrange your accommodations, we will reimburse your hotel expenses according to the rules of the Tohoku University (see below for details). However, if the accommodation expenses are over the reimbursement limits, we cannot cover the full balance and then you must pay the remainder.

  • * The values above are presented after tax at 20.42% has been deducted, and therefore represent the amount that you will actually receive.
